Locate and action unstructured content with FileFacets Enterprise ID

Big data in enterprise today brings many challenges as businesses create more and more content, and store and share data across multiple systems.

It is estimated that more than 2.5 billion gigabytes of data is generated every single day and that 90% of all data in the world today was produced within the last 2 years. With this trend continuing, it is estimated that 40 zettabytes will be created by 2020. With increased risk of theft of intellectual property and Personally Identifiable Information (PII), it is now more important than ever to gain control of your data.

What are the risks?

Information Governance &
Regulatory Compliance Risk:

Not knowing what and where data is sitting across the enterprise can conflict with internal or external records management policies. By not conforming to best practices for data management, regulated industries face the risk of audits and hefty fines

Data Protection & Privacy Compliance Risk:

Housing unstructured data across multiple sources makes it difficult for businesses to know what sensitive information they are in possession of. With international data protection laws expanding, like GDPR, and their associated penalties increasing, how can enterprises be sure they are protecting their sensitive information if they don’t know where it is and what it is?

The first step to gaining control of your data is to know what you have.
FileFacets Enterprise ID allows you to find what you have, keep what you need, protect sensitive data, and monitor for compliance making it easier to structure content for regulatory compliance and proper information governance.

How can FileFacets Help?

FileFacets’ Enterprise ID is an easy to use tool that allows organizations to search multiple repositories to identify Redundant, Obsolete, and Trivial (ROT) files and Personally Identifiable Information (PII). Once located, the drag and drop function allows users to classify to a proposed Target Structure so that appropriate files can be flagged for disposal or moved to a new/secure location in order to keep PII and sensitive data safe.

Once your organization has cleaned and organized their data, FileFacets Enterprise Discovery offers Desktop-level PII searching. The software can be scheduled to run in the background on each individual desktop without interfering with day-to-day operations. Scans will run for PII, and users have the ability to partition personal information from corporate information for future scans.

How it Works

Scan & Analysis

FileFacets Enterprise ID scans all content across multiple repositories and displays the content analysis into a single enterprise-wide view.

Advanced Search & Clustering

Next, through advanced regular expression searching and machine-learning clustering it identifies which files are contracts and which ones are not, and can also identify which files contain personally identifiable information.

Define & Action

Then, FileFacets can action these files according to a unique business process. FileFacets Enterprise ID can:

  • move identified files into a consolidated folder
  • copy identified files to a new folder and keep the original where it is
  • copy identified files to a new folder and delete the original file, or
  • leave the identified files where they are and flag them so you know what they are and where they’re located.

This drastically reduces the time and effort it would take to manually search every office repository for these types of document and gives businesses the flexibility to action data based on their own business process rules and workflows.
